Overview

This position is responsible for assisting the Grants & Contracts Director and team with operations. The Grants and Contracts Administration team manages cradle-to-grave support for sponsored research at BRI. This position is intended to be a support role and training position for individuals looking to learn the field and grow into greater responsibilities. 

The Grants & Contracts department is working a hybrid schedule and provides some workplace flexibility though local applicants are preferred to meet the hybrid (some on-site days) expectations.

This is an entry-level position in the grants & contracts field.

Responsibilities:

  • Support subaward team – under the guidance of analysts, create outgoing subawards from an existing template for review and initiate and monitor correspondence with subawardees.
  • Setting up new awards in financial database (Serenic), posting budgets, adding details from award agreements such as start/end dates, invoicing type, etc.
  • Processing incoming invoices for signature and payment (for subawards and other agreements) – track expenses against budgets and create coversheets for approval based on received invoices, obtain investigator signatures as needed.  Familiarity and ease with Excel a plus.
  • Standardization and maintenance of electronic folders – conversion of paper files to electronic, organization of electronic folders to maintain compliant record retention.
  • Audit preparation – review of folders for completeness, gathering documentation for Uniform Guidance audit, obtaining signatures from investigators as needed.
  • Collecting and entering effort allocations records into effort allocation system – assisting analysts in recording effort and salary for employees based on input from investigators. Reviewing completeness of monthly allocations once per month.  Comfort with learning a new database a plus.
  • Reporting and coordination of deliverables – assisting analysts in organizing reporting requirements for sponsor.  This may include creating a financial report, running reports (jet reports that are linked to Serenic, our financial database) and converting to diverse reporting formats; creating other support documents to reflect financial support for individual investigators; obtaining and organizing subawardee reporting documents; submission to various sponsor sites; filing and record retention of reporting documents.
  • Clinical research award support – supporting analyst in charge of managing clinical research portfolio.  This portion of the job will include preparing invoices for payment per sponsor guidelines; matching patient charges to invoice allowability
  • Running and distributing monthly internal jet reports for the GCA team for reporting deadlines
  • Running internal jet reports for federal draw requests to assist analyst in requesting funds from NIH based on prior month’s expenses.
  • Assisting with updating/editing Policy and Standard Operating Procedure documents for the department


Requirements

  • Bachelor’s degree in a related field is preferred
  • Minimum of one year of related experience (grants, contracts, accounting, administration)
  • Proficiency with spreadsheets and databases is also preferred
  • Familiarity with NIH grants and OMB Uniform Guidance and circulars A-110, A-122 and A-133 is preferred but not required
  • Organized and detail-oriented incumbent, especially with document management
  • Intermediate computer abilities, with emphasis in Word, Excel and database experience
  • Ability to work as a team member and possess strong oral and written communication skills 

Salary Range: $21.00 - $26.00
