ABOUT THE JOB:

The Student Affairs Division at UC Merced places a strong emphasis on the care and guidance offered to our community and we in the Office of Financial Aid and Scholarships (OFAS) are seeking a highly motivated, helpful individual to join our intimate team of Financial Aid Advisors. As a Financial Aid Advisor, your impact includes providing counseling to prospective, new, and continuing students and their families, offering guidance and access to resources. In addition to providing warm support to our campus community, you will also be determining financial aid eligibility, awarding financial aid, and you will be managing at least one program such as Pell Grant or Direct Loans. The nature of our work often requires collaboration and working as a unit, and other times requires independence and a self-starting attitude. We’re looking for someone who works well in both scenarios.

In your first six months as a Financial Aid Advisor, you can expect to work closely with the Assistant Director of Advising, your fellow Advisors, and the Student Services Team as you are introduced to how our department and campus operations work. You will be immersed in a blend of intentional training from staff across the Enrollment Management division and some self-guided learning as we integrate the knowledge and expertise you bring to our team. KEY RESPONSIBILITIES

  1. Conducts individual counseling sessions with applicants, students, and parents, obtaining information and determining exceptions to standard practices. Provides budgetary planning for the judicious use of available resources. Responsible for review of automated initial packaging of financial aid awards from Federal, State and University funds. Re-evaluates and adjusts packages of those who experience significant changes in their financial and personal situations, including alterations to fund awards, changes in student, parental, or academic statuses, and explaining the impact as needed. Represents the office and University as needed for college nights, campus visitation groups, admit receptions, etc. Counsels’ applicants, students and parents not qualified for need-based aid and assists them in exploring alternative methods of educational financing.

  2. Using our financial aid system, the Advisor is responsible for need analysis, verification, review of packaging output, and revisions of financial aid awards from Federal, State, and University funds. Determines student eligibility for financial assistance by performing need analysis utilizing Federal Methodology. Evaluates the allowable UCM budget components. Calculates financial aid eligibility with attention to detail and accuracy.

  3. Responsible for overseeing one or more of the following programs: Pell Grants, Cal Grants, Loans, Special Programs, etc. Ensures compliance with Federal, State, and Institutional regulations, performs regular reconciliations, complies with audit requests, complies with regular reporting and processing requirements.

  4. Responsible for ensuring that students do not receive aid in excess of need, and adjusts awards in conjunction with federal, state and university policy. Accurately analyzes and enters data in systems recording financial aid. Concisely writes comments and analyses on all student records with enough detail to withstand Federal, State and University audits. Modifies or cancels awards based on receipt of additional resources. Liaisons with various offices and agencies as necessary. Determines the distribution of refunds on less than full-time students and counsels’ students as to University policy regarding financial aid and less than full-time status.

  5. Assists the Assistant Director of Advising with special projects as required. Performs other duties as assigned by leadership in the Office of Financial Aid and Scholarships.



Requirements

EDUCATION and EXPERIENCE

  • Bachelors degree and 3 years of directly related experience in related area, or equivalent experience/training. (Required)

CRITICAL KNOWLEDGE AND SKILLS

  • Working knowledge of policies, regulations, and practices for awarding financial aid; specialized knowledge of particular programs.

  • Working knowledge of University policies, processes, and procedures.

  • Working knowledge of advising and counseling techniques.

  • Ability to interpret policies and develop procedures to ensure compliance.

  • Problem identification, critical thinking, and problem-solving skills; judgment and decision-making ability.

  • Ability to calculate financial aid with attention to detail and accuracy.

  • Organizational skills and ability to prioritize work and meet deadlines.

  • Strong written and verbal communication skills. Active listening skills. Possesses strong customer service orientation skills.

  • Strong ability to assess processes and implement improvements. Thorough interpersonal skills. (Preferred)

  • Strong proficiency with standard office software as well as internet and email applications. Working knowledge of common University-specific computer application programs. (Preferred)

  • Experience using complex databases. Ability to define specifications for database programming.
